A shipping photo of a painted pump is not inspection. If the order matters, bind three records to the serial numbers on the packing list before the crate leaves the plant. Anything less is a hope that the unit resembles the brochure.

1. Material report

Pressure-containing and wetted parts need a heat number trail. For corrosive or sour service, add positive material identification on the actual casings and impellers, not a mill certificate for a different heat. Name the parts: casing, cover, impeller, shaft, wear rings, fasteners in the wetted zone. “SS304 pump” as a line on a quotation is not a material report.

2. Hydrostatic test

Agree the test pressure, hold time, medium and acceptance criteria before production, then require a signed record for each casing. If the pump is a multistage barrel or a lined unit, say which chambers are tested. A workshop stamp with no pressure and no duration is theatre.

3. Performance test

Require flow, head, power and, where the specification asks, vibration and NPSH at the agreed points. Name the standard — ISO 9906 grade, GB/T equivalent, or a tighter project table. State whether the test is witnessed, recorded on a calibrated loop, or only a typical curve. Typical curves are useful for selection. They are not evidence that serial 2408-017 made its duty.

Index pages tell you which family and envelope you are looking at. They do not generate serial-number paperwork. Put the three reports in the RFQ. If a factory cannot explain how they would produce them, they are not ready for that order, regardless of how complete their website looks.

Common substitutions

  • A catalog curve reused as a “performance test”.
  • A certificate whose scope expired last year.
  • Material certs for bar stock that never became the impeller.
  • A hydrostatic stamp on a different casing size in the same batch.
